What this policy covers.
This Privacy Policy explains how IntakeDock collects, uses, discloses, and protects personal information through the IntakeDock website, contact and workflow review forms, and IntakeDock product workflows.
IntakeDock is built for mortgage document intake and review. When customers use the product, borrower documents and deal-related information are handled under the applicable customer agreement and product terms.
Information we collect.
We collect information you choose to provide, such as your name, work email, role, team size, interest type, and message when you contact us, request a workflow review, ask about pricing, or submit a general inquiry.
When the IntakeDock product is used, information may include account details, workspace activity, document request activity, borrower-uploaded documents, email reply attachments, deal-related metadata, review activity, and audit history needed to operate the workflow.
- Please do not include borrower names, mortgage amounts, document names, file contents, or other sensitive deal information in public website forms.
- Website analytics, when enabled, are configured for non-identifying public-site measurement and must not include form field values or borrower, deal, document, or mortgage details.
How we use information.
We use information to respond to inquiries, schedule workflow reviews, discuss pricing or rollout questions, provide and improve IntakeDock, support customers, protect the service, and meet contractual or legal obligations.
We may also use non-identifying website analytics to understand public-site performance, page usage, and conversion paths. Analytics events are designed to use approved, non-sensitive properties only.
How information is shared.
We do not sell personal information. We may share information with service providers that help us operate the website, host and secure the product, route inquiries, provide customer support, process payments, or perform related business functions.
We may also disclose information if required by law, to protect rights or security, or as part of a business transaction such as a merger, acquisition, financing, or sale of assets.
Safeguards and access controls.
IntakeDock is designed with PIPEDA-aligned safeguards appropriate for sensitive borrower document workflows. Public security language is intentionally conservative and does not claim certification, audit status, or compliance guarantees.
Safeguards may include access controls, role-aware workflows, organization isolation, audit history, secure upload paths, and operational controls designed to reduce unauthorized access, disclosure, copying, use, or modification.
Security overviewRetention.
We keep personal information only as long as needed for the purposes described in this policy, to provide the product, support customers, maintain records, resolve disputes, enforce agreements, and meet legal or contractual obligations.
Product retention settings may vary by plan, workflow, customer configuration, or agreement. Customers are responsible for their own brokerage recordkeeping and regulatory obligations.
Your choices and requests.
You may contact IntakeDock to ask privacy questions, request access to personal information we hold about you, request a correction, or ask that information be deleted, subject to legal, security, contractual, and recordkeeping requirements.
If you are a borrower whose information was submitted through a mortgage professional using IntakeDock, you may also need to contact that broker, brokerage, or mortgage professional directly because they may control the underlying deal file.
Contact usUpdates to this policy.
We may update this Privacy Policy as IntakeDock, our website, our product, or applicable requirements change. The effective date shows when this policy was last updated.
If a change materially affects how personal information is handled, we will provide notice in a way that is appropriate to the change.
